Along with the details about when and where, you see a link to reserve your hotel room through the group’s hotel room block. You happily take a sneak peek at the hotel online so you can start crafting a vision for your trip.
That’s when you notice it.
There are cheaper rates for the same hotel floating around on budget travel sites.
You’re smart.
You’re a travel whiz.
Who will it hurt to save a little cash and book your hotel room on your own?
You, actually.
Because there is a method behind the hotel room block madness, and at the heart of it is one goal: helping you have the best possible experience.
What Exactly Is a Room Block?
A room block is a set number of hotel rooms reserved for a specific group.
When I arrange a room block for my clients, I can negotiate benefits that elevate your stay from ordinary to extraordinary—benefits beyond the bed that are tied to the group reservation, not simply to the hotel itself.
Depending on the property and the group, those benefits may include:
- Complimentary airport or ground transportation
- Preferred room locations on the property
- Breakfast or other specialty meal experiences
- Early check-in or late check-out
- Private access to local or onsite events
- Discounted spa amenities
- Welcome packages
- Dedicated onsite contacts
- Group rates
- Resort credits
And the benefits aren’t the only reason room blocks matter.
Room blocks also protect the group experience.
When your group stays within the contracted room block, the hotel knows how many guests are participating in the event and can plan accordingly. That might mean assigning rooms together, preparing welcome amenities, managing group activities, or ensuring guests have access to designated event spaces.

One of the biggest costs to consider when booking outside of a hotel room block is airport transportation.
Not long ago, one of my brides hosted her destination wedding at a luxury resort in Mexico. Guests aren’t always aware that resorts in Mexico, Jamaica, Greece, and Dubai can be anywhere from 30 to 90 minutes from the airport. That’s why tying airport transportation to the hotel room block is at the top of my negotiation list.
Because guests who arrive with one less thing to worry about are happy guests.
On the day guests were scheduled to arrive, I received a frantic call.
One of the guests was at the airport, but the driver I had arranged for the group didn’t have her name on the manifest. After calming her down, we determined that she had booked her room outside of the block through an online booking site. She incorrectly assumed she would be able to use the airport transportation with the rest of the guests. Unfortunately, I couldn’t simply add her to the transfer manifest because the transportation was tied to the hotel room block.
I’m a travel advisor, not a magician.
Ultimately, the $75 she thought she was saving on the room cost her $150 in transportation to the resort. That’s why, before you book outside of a hotel room block, I encourage you to ask your travel advisor what benefits are tied to the group reservation.
That one question could save you money, frustration, and a very inconvenient travel experience.

One of the biggest benefits you receive when you book within the hotel room block is me.

The room block is part of that process. It’s part of the experience I have negotiated for you and the other guests in your group. I’m not just sending you a random booking link. I’m giving you a way to stay connected to the experience I’ve planned for you.
And that’s ultimately what you hired me to do.

When I arrange a hotel room block, I’m not just securing rooms. I’m negotiating benefits and coordinating details that can create an unforgettable travel experience. Please don’t assume that booking the same hotel somewhere else will give you the same experience. You may be staying under the same r oof—but you may not receive the same benefits. And once you’ve booked outside the block, I may not be able to add those benefits, manage the reservation, or intervene on your behalf.
So before you click “Book Now” because you found a slightly cheaper rate, talk to your travel advisor first.
That five-minute conversation could prevent a very expensive—and frustrating—surprise later.
