Destination Weddings, Demystified: Part Four

October 7, 2026

What the Heck is a Vendor Fee?

Most Caribbean resorts include a basic wedding package in your rate, and it usually caps out around 20 guests. Every property is different, but that’s the general baseline. That starting price gets you your 20 people, a basic setup, a basic cake, maybe some basic flowers.

Here’s the thing: nobody walks into their wedding wanting basic.

And most weddings run well past 20 people anyway. So nearly everyone upgrades the package, because let’s be honest, basic was never the vision.

Some vendors simply aren’t part of the package pricing – think DJ, photography, that kind of thing. The resort will hand you their preferred vendor list. But what happens when the vendor you actually want isn’t on it?

A lot of my clients come to me with people they already trust for the biggest moments: DJ, hair and makeup, photography. And that makes sense, because these are the parts of your day that become your actual memories. Your photos and videos are what you’ll hold onto forever, and your DJ sets the entire emotional tone of the event. You want people whose work you already know and trust, full stop.

Guess who also knows this?

The resorts.

And they’ve built a way to capitalize on it: the Vendor Fee.

It’s a charge the resort applies when you bring in a vendor who isn’t on their preferred list. Many resorts have existing arrangements with their preferred suppliers, and while I can’t prove it outright, my honest read is that the resort gets a cut of that vendor’s business.

It’s really the only explanation that makes the fee make sense: the resort is recouping revenue it feels it’s losing.

These fees typically start around $500 per vendor and climb fast from there. Some resorts, not all, will waive it if the vendor is officially part of your travel party. Even so, plenty of my clients pay the fee anyway, because they refuse to leave the most important parts of their wedding to chance.

I’ll be honest with you: I don’t love this fee.

It feels like a money grab to me. But I don’t make the rules, so as a couple, you have to weigh how much those specific vendors matter to your day and decide from there.

One more thing: this fee should be written directly into your vendor contract. If you don’t see it listed, ask. And if it exists, get it in writing, every time. Here’s why: resort pricing changes. If they raise that fee before your wedding date and you don’t have it locked in writing, you’re the one who absorbs the new rate.

Planning a destination wedding is equal parts joyful and eye-opening. From choosing your venue and understanding room blocks, to navigating vendor fees and everything in between, the details matter just as much as the dream. None of this is meant to scare you away from saying “I do” somewhere beautiful. It’s meant to make sure you walk into it with your eyes wide open, your questions answered, and your budget protected.

At the end of the day, there is no single right way to plan this. There’s only the way that reflects you as a couple, and the memories you want to walk away with. Ask the hard questions early, get everything in writing, and don’t be afraid to lean on people who do this for a living.

That’s exactly what I’m here for.

Here’s to your happily ever after, wherever in the world it happens.

Again, this wedding is yours and you need to do what’s best for you.
